People Operations Coordinator

We are looking for a People Operations Coordinator that has a strong interest in growing their experience within People Operations and Systems. In this role, you will drive various processes and perform administrative tasks to support the employee lifecycle while gaining a deeper understanding of people processes and HR systems. We are looking for candidates that have a strong passion for People Operations and Systems and a drive for continuous process improvement while providing great customer service.

This role will be based in our Redwood City office.


  • Coordinates and completes the onboarding process starting from collection and validation of all necessary onboarding forms (e.g. validating I-9s, completing E-Verify, etc.) and owns data entry of new hires into the HRIS
  • Follows established process to ensure any employment changes have received necessary approvals and creates necessary employee communication documents utilizing established templates
  • Maintains the integrity, confidentiality and accuracy of human resource files and records in both the HRIS and employee files
  • Administers the off-boarding process for departing employees and notifies People Business Partners for any necessary follow up
  • Administers the immigration process by being the main point of contact for employees, People Business Partners, Managers, and external immigration counsel to facilitate various immigration processes and requirements
  • Ensures compliance with federal, state, and local employment laws and regulations, and company policies by updating required postings and policies
  • Supports audits/reviews of various people operations processes and records
  • Administers Purchase Orders and invoices on behalf of the People Operations team
  • Reviews all People team mail to distribute to appropriate partners and responds to employment verifications and unemployment claims
  • Recommends new approaches, policies and procedures to effect continual improvements in efficiency of the department and services performed
  • Serves as back up for the People Operations Analyst when needed
  • Other duties as assigned

About You

  • BA/BS completed or in progress or equivalent in a related field is preferred
  • At least two years of experience as an HR Coordinator with very strong organizational and administrative skills
  • Highly computer literate with working knowledge of G-Suite for email, document sharing and calendar and MS Office tools (Microsoft Word, Excel and PowerPoint
  • Experience with HR databases, HRIS systems and ATS Software (e.g. Oracle Fusion, ADP Workforce Now and Lever)
  • Ability to handle data with confidentiality
  • Excellent written and verbal communication skills
  • Works well under pressure and meets tight deadlines
  • Fantastic organizational and time management skills
  • Meticulous attention to detail
  • Experience working both independently and in a team-oriented, collaborative environment
